An AI agent that keeps watch on your HubSpot pipeline

Connect HubSpot and Ara reads your open deals on a schedule. On weekdays it tells you only what changed since yesterday, or says nothing. On Mondays it runs a pipeline review from a script, not from memory. After a call it writes the recap, the note and the task. Writes to HubSpot run without asking unless an admin puts the CRM under review.

How it connects: Through Composio. Ara acts as the account that connected it, so it reaches what that HubSpot user can reach. A workspace can connect a shared account instead of a person's.

What Ara does with HubSpot

  • Weekday pipeline watch

You say: Nothing to ask: this is set up when HubSpot is connected, for weekdays at 08:00.

Ara compares today's deals with yesterday's saved snapshot and raises only new signals: a deal gone stale (21 days with no activity unless your team set another number), a close date that passed or moved, a lost next step, a large deal that moved stage, or an overdue follow-up. At most three items. If there is nothing new, you hear nothing.

    Tools it can use

    • HUBSPOT_LIST_DEALS
    • HUBSPOT_LIST_DEAL_ACTIVITIES
  • Monday pipeline review

You say: Nothing to ask: this runs on Mondays at 08:00. You can also ask for it any time: "what's stuck?"

A script computes coverage, stage distribution, concentration in the top three deals and a weighted forecast, in the same way each week. You get one chart, at most five deals that need a person, and proposed CRM updates as a table. None of them is applied until someone asks.

  • Follow-up after a call

You say: Here are my notes from the call with [account]. Write the recap, log it and remind me if it goes quiet.

Ara writes the recap and a separate CRM note, adds the task, and sets a nudge with a stop condition. The note and task are written straight away on a deal you discussed. An email to the customer stops at a draft in the reply, unless you clearly asked to send it.

    • HUBSPOT_CREATE_TASK
    • HUBSPOT_UPDATE_DEAL
  • Prepare for a customer meeting

You say: Prep me for the renewal call with [account] tomorrow.

You get a one-page brief with stage, amount, close date and last activity from HubSpot, and it flags where the record disagrees with the conversation. Nothing in this job writes to HubSpot.

What a reply looks like

Example, with placeholders. Not real data

Request: Pipeline watch, weekdays at 08:00

Reply: [Deal A], [amount]: the close date passed on [date] and nothing moved. [CRM, date]. I can draft a nudge to [contact]. [Deal B], [amount]: no next step since [date]. I can propose one. Say "draft the nudge for [Deal A]" to act on the first.

Setup

  1. In the dashboard, open Your apps, search for HubSpot and press Connect. Sign-in happens on the app's own page.
  2. Ara takes a first look right after you connect your own account and comes back with what it finds. The weekday watch and the Monday review need a workspace admin; if that isn't you, an admin has to open the page once.
  3. Tell Ara your target and thresholds once, such as your stale-days number and currency. It keeps them in the workspace book, and says so when one is missing.
  4. Decide on writes before you rely on it: set a rule for HubSpot, or switch off tools under Permissions.

Runs without asking

  • Reading deals, activities, contacts and notes. The watch and the review do this with nobody watching.
  • With no rule, notes, tasks and deal updates happen as soon as Ara calls them, and so do HUBSPOT_MERGE_DEALS and HUBSPOT_REMOVE_DEAL if they stay on.
  • The watch's brief says to write nothing, which is an instruction and not a lock.

What waits for a person

  • A batch of updates you asked for goes as one call, so under "Asks a person first" it is one thing to check.
  • Deal and contact reads aren't held by a rule. A few others are, such as HUBSPOT_WHO_AM_I.
  • Consider switching off the tools you would never want used: the contact and deal deletion tools and publishing marketing email, for example.
How approvals and data work

Limits

  • The forecast needs your target and HubSpot's stage probabilities. Deals with no stage probability are left out of it, and it does not add up mixed currencies. Ara tells you when either applies.
  • A custom deal field needs mapping before the script can read it.
  • A shared workspace account can drive the watch and the review, but the first look reads only your own connection.
  • Nothing appears inside HubSpot's screens except the records it writes.

When Ara is not the right fit for HubSpot

  • You want an agent built into HubSpot's own screens and data model. HubSpot has its own agents in its Agent Hub, and they are the first thing to look at.
  • You want something to chat with your website visitors. Ara works for your team and is not a chat widget.

How control works on every connected app

  • Every tool has a switch on the account that connected it. All are on until you switch them off, and "Reads only" leaves only the reads. A switched-off tool never runs.
  • An admin can set one rule per app: "Runs without asking", "Asks a person first" or "Never runs". With no rule, which is the default, nothing waits, and that includes sending, changing and deleting.
  • A waiting action shows what would change. Any member can decide it, and if nobody does, it expires and nothing runs. The decision can be made in the dashboard.
  • A rule tells reads from changes by the tool's name. That is why this page names the exceptions on this app.
  • Ara looks when asked or on a schedule. Starting a run the moment something changes in an app is not switched on for arator.rinda.ai today.
  • Ara acts as the connected account, with one live account per app. To switch accounts, disconnect first. You work with Ara in Slack, a linked messenger or the dashboard, not inside the app.
  • Only a workspace admin can create a schedule, and not from a group chat.
  • What Ara reads passes through Composio and a model provider. If your data may not pass through a third party, Ara is not for you. We don't train models on your data, and what a provider keeps follows its own terms.

Questions

Will Ara change my deals on its own?
The scheduled watch and review are told only to propose. When you ask for changes, they run without a pause unless an admin set HubSpot to ask first. To be sure, set that rule or switch off the write tools.
Does this work with another CRM?
The pipeline script also detects Pipedrive, Salesforce and Attio. The watch and the review are set up for any of the CRMs in Ara's list.
Can Ara email my prospects from HubSpot?
Follow-up work is told to stop at a draft unless you ask to send, and then to ask for approval first. HubSpot's marketing email tools stay on until you switch them off, so switch them off if you don't want them used.

What it costs

Free to start with 20 credits and no card. 1 credit per completed run plus external data lookups; failed runs cost nothing. Business is quoted. A scheduled run and a first look use credits like any other completed run, even on a quiet day when you hear nothing.

How we checked this

Read from Ara's own code and the live site on 2026-11-04. Example jobs show what the tools and instructions allow, and an AI model can still get things wrong. If something here is out of date, tell us
